How to choose field-service management software for a UK mobile workforce — the five decisions that determine whether the platform pays for itself or becomes shelfware with a contract attached.
1. Map your day before anyone demos
Write down the actual chain: quote → schedule → dispatch → engineer proof → invoice → payment → renewal. Mark exactly where it breaks today (missed certificates? double-keyed invoices? invisible vans?). Every demo should be forced through your three ugliest real workflows with your data, not the vendor?s showcase jobs. Platforms fail in this category at the seams, never in the brochure features.
2. Compliance paperwork is the UK filter
If your trade touches gas, electrical, fire or security, certificate and PPM workflows are not features — they are the operating system. Ask each vendor to produce a real Gas-Safe-style certificate, a service-reminder cycle and an SLA report live in the demo.
3. Decode the pricing shape before comparing numbers
Published UK ranges run ~£25–£29/user at the software-only small end, ~£34–£45 where contract management deepens, and £79.95+/licence where hardware is bundled (BigChange). Hardware-bundled is not more expensive by default — it replaces tracking, tablets and MDM you might otherwise buy separately — but compare total monthly fleet cost, not sticker prices. Quote-only vendors (simPRO, Commusoft) should be benchmarked against the published numbers before you negotiate.
4. Contract terms are part of the price
Multi-year agreements with no trial are common in this market (BigChange and Commusoft both fit this pattern). That is tolerable when you have done diligence: scripted demos, reference calls to two similar UK businesses, and written data-export terms before signature. It is indefensible without them. A vendor that will not document your exit is telling you something.
5. Test the ecosystem, not just the platform
The field platform is the hub of a stack: accounting (Xero/Sage sync quality — bidirectional contacts, invoice status, payments), marketing (HubSpot-class), telephony, location (what3words), payments on site, and any subcontractor network. Integration quality — not integrations listed — decides the real cost. Have the vendor demonstrate a live invoice round-trip into your accounting package.
