Buying guide

How to choose CRM software

CRM is the most-bought, most-abandoned category in business software. This guide is built around the uncomfortable truth that success depends more on your team's habits than on any feature list.

Guide Updated October 2026

1. Fix your sales process before you software it

A CRM enforces whatever pipeline you feed it — including a broken one. Define your stages, exit criteria and required fields on a whiteboard first. If two sales leaders describe the process differently, no software on earth will reconcile them.

2. Choose your tier honestly

Sales-pipeline tools, all-in-one platforms and enterprise clouds differ tenfold in cost and complexity. Most small teams should start with a pipeline tool or free tier and graduate deliberately. Enterprise clouds make sense when you are buying the platform and partner ecosystem, not the CRM screens.

3. Weight email and calendar integration above everything

The CRM that logs activity automatically gets used; the one that relies on manual entry quietly dies. Test exactly how each candidate captures email, meetings and calls with your actual mail system. This single factor predicts adoption better than any other.

4. Model the real price, not the entry tier

CRM pricing layers: seats, feature tiers, contact limits, calling minutes, reporting add-ons. Price the configuration you will actually run at next year's team size. Free and entry tiers are frequently designed to be outgrown.

5. Plan data migration and hygiene from day one

Importing a decade of duplicates and dead contacts poisons adoption instantly. Clean before you migrate, import less than you think you need, and establish field discipline early — a CRM is only as trusted as its data.
